This policy explains what we do with your personal information when you enquire through this website, ring us, or become a customer. It is written to be read rather than to be survived.

This website is operated by Essex Probuild Ltd, trading as Probuild Extensions Colchester. We are registered in England and Wales, company number 15979928, at Scarletts Chase Offices, Scarletts Chase, West Bergholt, Colchester, CO6 3DH.

What we collect
When you send an enquiry through this website we collect your name, phone number, email address if you give one, the postcode or address of the property, what you are planning, and any preferred visit date and time you tell us. If you contact us through the WhatsApp widget, the message you send contains only the fields you filled in, plus your own phone number, which WhatsApp supplies when you press send.
If you become a customer we hold the information needed to run the job: contact details, the property address, drawings, correspondence, quotations, invoices and payment records.
We do not collect special category data. We do not ask for payment card details through this website.
Why we hold it, and on what basis
We use enquiry information to reply to you, arrange a survey and prepare a quotation. The lawful basis is that processing is necessary to take steps at your request before entering into a contract.
Where you become a customer, we use your information to perform the contract, and to comply with our legal obligations, which include keeping accounting records and, where relevant, Building Regulations and health and safety documentation.
We do not use your enquiry to send marketing unless you have asked us to.
Who we share it with
An extension involves other parties, and your details are shared only as far as the job requires:
- The technician or designer producing your drawings, and the structural engineer producing calculations.
- The local authority, for planning applications and Building Control notifications.
- Subcontracted trades working on your property, who receive the address and access arrangements.
- Our accountants and, where necessary, our insurers.
- Enquiries sent through this site are also copied to our marketing agency, Mortaro Group, so they can see whether the website is producing enquiries. They do not contact you.
We do not sell your information and we do not share it for anyone else’s marketing.
Where it is held, and for how long
Enquiries submitted through this site are stored in the website’s own database and copied by email to the addresses above. The website is hosted within the United Kingdom or the European Economic Area.
We keep enquiries that do not become jobs for up to two years, in case you come back to us. Records relating to completed work are kept for longer, because a building job can generate questions years later and because tax law requires it: contract, financial and Building Control records are kept for a minimum of six years, and structural and guarantee records for longer where that is sensible.
Your rights
You have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete information where we no longer have a reason to keep it, to object to processing, and to ask us to restrict processing while a question is resolved.
Ask by email or phone. We will respond within one month. There is no charge.
If you are not satisfied with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113. We would rather you told us first so we can put it right.

Changes
If we change this policy we will update the review date below. This is a starting point drafted for a small building contractor and it should be reviewed by your own legal adviser before you rely on it.
